Keeping your client’s data safe – with WillSuite

When thinking about choosing an estate planning software provider, it is crucial to think about the things that matter to your clients and we’re one step ahead. We have compiled a list of the key features that matter when it comes to how we can help you keep your client’s data secure.

 

1.      Firstly, we provide cloud-based software meaning you can access your WillSuite account anywhere and on any device where you have internet connection. Your client’s data is stored in server centres in the UK and specifically in England so your data never leaves the UK.

2.      We take regular back-ups of the system meaning that should the service ever go down (we have 99.9% up-time), your client’s data will not be lost.

3.      As well as having secure log in details (email and password) to be able to access the system, you could enable 2 factor authentication. For those of you who do not know what that means, put simply it means that every time you login, you can enter a one-time randomly generated code to be able to complete the login. This is the sort of technology used in online banking for data security. A great selling point when talking about how you keep your clients data safe.

4.      Within WillSuite, you could also set up regular password change prompts so that you (and your team) are required to change passwords regularly.

All of these features help you to keep your client’s information safe and will only add about 15 seconds onto your log in time if activated. We have not stopped there either.

5.      Many of us email documents like draft Wills to clients and we know that email is a very insecure way of transmitting information. That is why, within WillSuite, we have given you the capability to encrypt documents. Within the submission tab, simply toggle the password on. This will create and assign a randomly generated password for the case which can be provided to the client for them to be able to access their drafts. You can choose to change the system generated password if you wish.

6.      Sending the password to client via email defeats the object of document encryption so WillSuite has a handy free-type SMS function where you can send the clients a text with their document password. Any communication from the system like this is automatically added to the client interaction section so you can view this at a later date if needed.

7.      WillSuite can provide you with a policy which explains how data is kept so that, if you wanted to update your privacy policy, it is as simple as possible. Simply email [email protected] for assistance.

8.      Another great way to help keep data within WillSuite secure is to have specific permissions for specific users. Naturally a business owner will want to have full access to the system but the master license can restrict permissions so that specific users can only see cases that are assigned to them. This can all be managed by the master license.
