In today’s article, we’re going to be looking at four WillSuite features that incorporate automation that you can be using right now to save valuable time for your business each week.


Letter Templates


This feature significantly cuts down the time it takes to draft things like client care letters, letters to executors, client agreements and terms of business. Letter templates are simple to set up and can be generated for anyone in the address book with the click of a button.


Because you only need to set each letter up once, the potential time you can save by using this feature can be significant. In addition, you also benefit from a reduced risk of double data error. This is because minimising the amount of times you key in data helps to reduce accidental spelling mistakes or other errors.


Simply copy in the provided merge tags where you’d like your case data to pull through, upload it to WillSuite and it can be downloaded at any time, for any client with just a click of a button.


Pipeline Automation


Pipelines are my personal favourite feature the software has to offer! To explain how they work, pipelines are a workflow/process tracking tool with inbuilt client communication features. This means for any of the products or services you offer, you can create a pipeline that helps keep both you and the client up to date throughout the entire process.


Setting pipelines up is really easy, you simply need to create all the steps you need for each process, add any automations, such as sending the client an email/sms message or even setting an automatic task upon entering a step.


For Estate Planning Professionals, this kind of automation opens up countless opportunities and possibilities. For instance, you could create a pipeline with a step that will send the client an email or text when it’s time for them to review their wills AND create a task to follow up with the client. For more simple scenarios, you could easily set up a pipeline to email the client a Google review or TrustPilot link after a certain amount of time.


CRM Fields


These are custom data fields you can create on WillSuite to allow bespoke levels of data input and reporting. You can track where your leads are coming from, what products and services your clients are more typically interested in, client storage and funeral details and much more. CRM fields can be customised to track the exact data you need to capture. CRM fields can also be used when filtering data to create reports. This allows for more immediate insight into your data.


Connect Client Portal


WillSuite’s client-facing portal, Connect, is an add-on which provides a secure and intuitive platform for your clients to carry out requests and tasks. These requests can be:


  • Filling out address books and case information
  • Completing assets and liabilities tables
  • Signing documents
  • Making online payment
  • Uploading and approving documents
  • Answering custom-made questionnaires


These requests help to automate many of the tasks present in the instruction taking process, and each request can be followed-up with the client to ensure they have entered everything correctly.
